1. Who we are
EduNex is a school and daycare management app provided by Valuecraft Solutions (“we”, “us”). Schools use EduNex to look after children, keep families informed and run their office, fees and payroll.
Each school decides what information it records about its children, families and staff, and is responsible for it. We look after that information for the school and use it only as the school instructs. For the account you create yourself, we are responsible for your sign-up details.
We follow the Personal Data Protection Act, No. 9 of 2022 of Sri Lanka.
2. Information we collect
- Account: email address and password (stored only as an encrypted hash), and the role you choose: school owner, principal, teacher or parent.
- Profile: name, phone, gender, date of birth, NIC or passport number, marital status, address, emergency contact and profile photo.
- School owners: your school’s name, contact details, address, location and logo, and how the school invoices fees and pays staff.
- Staff: résumé, job role, attendance, leave, salary, bank details, EPF number and tax (TIN) details used for payroll.
- Parents and children: children’s details added by you or the school, such as class, attendance, health and allergy notes, pick-up persons, learning updates, photos and posts shared by the school.
- Fees and payments: invoices, receipts, payment plans and payment records.
- Use of the app: sign-in times, actions recorded in the school’s audit log, app settings and, if you allow notifications, a device token to send them.
3. How we use it
- To run your school’s services: attendance, daily care, classes, events, learning updates, fees and payroll.
- To keep you informed: emails and app notifications about your account, your children or your work.
- To meet legal duties: for example EPF, ETF and APIT records the school must keep for staff.
- To keep EduNex safe: preventing misuse, protecting accounts and fixing problems.
We do not sell personal information, and we do not use it for advertising.
4. Who can see your information
- People at your school: only those whose role needs it. Parents see their own children; teachers see their classes; school admins manage the school.
- Our support team: only when needed to support your school, fix a problem or keep the service running.
- Service providers: who host EduNex and deliver email and notifications for us, under agreements that keep the information confidential.
- Authorities: only when the law requires it.
5. Children’s information
Children do not create accounts. Their information is added by their parents or their school, and is used only to care for and teach them.
Class photos and posts are shared only with the people the school chooses, such as the parents of that class.
6. How we keep it safe
Passwords are stored as encrypted hashes, connections use HTTPS, every role can open only what it needs, and important changes are recorded in an audit log the school can review.
No system is perfectly secure. If something goes wrong that affects your information, we will tell your school and, where required, you.
7. How long we keep it
We keep information while your account or your school uses EduNex. Some records, such as payroll, tax and payment records, are kept for as long as the law requires. After that they are deleted or made anonymous.
8. Your rights
You can see and correct your details in your profile at any time. You can also ask to receive a copy of your information, to delete it, or to stop a use you did not agree to.
For information your school keeps (for example a child’s records), ask your school first; we will help them answer you.
10. Changes to this policy
If we change this policy we will update the date below, and for important changes we will ask you to read and accept it again.
11. Contact us
For questions about your information, or to use any of your rights, contact your school’s administrator, who can reach Valuecraft Solutions for you. We answer requests within the time the law allows.
